Changelog

What's new in SparkDesk.

Release notes for customers: new features, improvements and fixes.

  1. Highlights

    • Your own email addresses. Claim your workspace handle to get addresses such as support@, billing@ and receipts@ on yourhandle.sparkdeskmail.com. Email to your clients is sent from them, and SparkDesk sets up sending for you.
    • One email composer on every record, with templates, attachments and email signatures. Replies come back to the right conversation, case or record on their own.
    • A new inbox: one conversation list with linked records, delivery status, filters and search across all your email.
    • Receipts and documents by email. Send receipts, bills and documents to your inbound addresses. They wait in a review queue, and a receipt becomes a draft expense in one step.
    • Schedule broadcasts for a date and time in your time zone, on Team and Business.
    • Invoice and quote links that read well on phones, with your logo. Quote links list every line item, and the contract signing page shows your logo too.
    • Workspace security settings. Owners and Admins can require two-factor sign-in, set password rules, sign people out after a period of inactivity, and limit invitations to approved email domains.

    Also New

    • Public pages, such as invoice and quote links, signing, the client portal and forms, end with a slim footer and a small Powered by SparkDesk badge. Team can hide the badge, and Business can add its own footer text and links.
    • Every email to a client shows on the record’s Email tab with its delivery status.
    • Edit your own profile: name, phone, time zone and email. Owners and Admins can update a member’s details.
    • Workspaces come with a default Admin role and an editable Member role.
    • Expenses, receipts, vendors and recurring expenses are included from Solo, and you can add your own expense categories.
    • Calendar events and reminders follow your workspace time zone, and mentioning someone with a reminder sets it for them.
    • Trash now covers reminders, calendar events, dashboards, flows, saved reports and canned replies.
    • Manage tags in one place: rename, merge or delete them across the workspace.
    • Saved views filter the whole list, with custom fields, related names and AND/OR conditions.
    • Export a doc as a PDF, HTML page or Markdown file that keeps its cover, formatting, tables and images.
    • The Docs page tree starts collapsed, pages open full width, and cover suggestions match the page.
    • Moving an account to Trash lists the linked records first.
    • Lists load faster, and notifications arrive as they happen.

    Fixes

    • Public form submissions and portal case requests work again.
    • Payment dates no longer show a day early.
    • Emailed receipts are read for total, tax and currency even when AI is off.
  2. Highlights

    • New plans: Free, Solo, Team and Business, with add-on packs for AI requests, Flow runs, custom objects, storage and client portal users. Flows automation is on every plan.
    • Bring your own AI key, free on every paid plan. Requests on your own key are never counted.
    • Get paid online. Connect your Stripe account and clients can pay invoices by card or bank debit from the invoice link, and the payment is recorded for you. It stays off until you turn it on.
    • Payment reminders and late fees go out on overdue invoices automatically, set per workspace or per invoice.
    • Bill expenses to clients. Add billable expenses to an invoice and include the receipts in the PDF or as separate attachments.
    • Better e-signatures. Signers can draw their signature, consent is recorded, a signing certificate is added to the signed PDF, and signers get reminders. Share signing links yourself, or send through DocuSign or PandaDoc.
    • Orbit, your assistant in the header. It knows the page you are on, looks things up with your permissions, and asks before it creates, changes or deletes anything. Open it full screen to pick up past conversations.
    • SparkDesk on your phone. Add it to your home screen for a bottom tab bar, quick create, My work, a workspace switcher and push notifications, with refreshed colors and a deeper dark mode.

    Also New

    • Search everything with Cmd/Ctrl+K: results grouped by type, with related records, settings pages and quick actions.
    • My work shows unpaid invoices, quotes waiting for a reply, contracts ending, deals closing and projects ending.
    • Choose which notifications reach you by email; several close together arrive as one email.
    • Owners and Admins can reorder, rename and hide sidebar items for the whole team, and rename record types, for example Accounts to Customers.
    • Short product tours on key pages, which you can replay from Product guide in the account menu.
    • Reports and dashboard widgets can filter, group and total by custom fields.
    • Automation reports show Flow runs by status, failed runs and run times.
    • A calmer Insights home with your headline numbers, a Today list, pipeline and money owed. Show, hide and reorder what you see.
    • Share dashboards and saved reports with specific people, roles or your whole organization.
    • Docs save as you type, with a page tree, nested pages, a template gallery with 16 starter templates, and saved list views.
    • Knowledge base articles read like documentation, with search, an outline and previous and next links.
    • Install ready-made setups from the Marketplace, such as Agency Retainer and Projects. See what each one adds first, and undo it if you change your mind.
    • Flows start when records are saved, edited in bulk or imported, and can run on custom date fields.
    • Add your logo, colors and footer around email templates and Flow emails.
    • Expense visibility follows your reporting lines, vendor pages show spend over time, and budgets track committed spend and a forecast.
    • See how many records use each picklist value, and replace or rename a value on every record at once.
    • Keep account subscription details in step with Stripe using Stripe Billing Sync.
    • Orbit can set reminders and add calendar events for you.

    Fixes

    • Contract PDFs show accents and scripts such as Greek, Cyrillic, Chinese, Japanese and Korean.
    • Chart labels are no longer cut off.
  3. Highlights

    • Flows replace workflows. Build automations with a simple When, If, Then editor, test them before they go live, and attach (“clip”) a flow to a specific client, project or record from the Flows button on any record page.
    • Billing on a schedule. A flow can open timesheets and create the invoice for each client period (weekly, every two weeks, twice a month or monthly), send reminders a few days before a period ends, and reuse your last invoice’s layout, terms and notes.
    • Reports, rebuilt. Reports show every row with group subtotals and a grand total, headline numbers and charts that follow your quick filters, a setup panel beside the report, and columns you can freeze. Every template was rebuilt, and invoice revenue now accounts for credit notes.
    • Products & Services. Keep a catalog of what you sell in CRM and pick items straight onto quotes, invoices and credit notes.
    • Connect AI assistants by signing in. Add SparkDesk to Claude or another AI assistant with one link, sign in, and choose the organization. No API key to copy.
    • Tasks remember when they were finished, and the task page shows the completed date.

    Also New

    • Project pages show what happened on their tasks too, with Tasks, Time and Flows filters.
    • The project Time tab is easier to read and edit.
    • A redesigned org chart with zoom, search and a Teams view, and a simple list on phones.
    • Preview your client portal and knowledge base articles before clients see them.
    • Settings are grouped by area, with dedicated Finance, Quotes & Invoices and Contracts pages.
    • Help icons and tooltips open with a tap on phones and tablets.
    • Undo and redo while editing a flow, and a warning before changing a flow that is already running.
    • Every API and AI assistant request is listed in the API & MCP Activity report.

    Fixes

    • People who have been removed no longer appear in pickers, member lists or notifications.
    • Emails sent to your support address are routed more reliably, automatic replies are recognised, and Settings > Service lists recent emails and what happened to each.
    • Saved table views always load; if a view is missing you see All Records instead of an empty page.
    • Branding changes keep your other brand settings.

    Also In This Release

    • Delete reports you no longer need.
    • Organize Insights dashboards in tabs.
    • See when each opportunity was opened.
    • Price products and services in more than one currency.
    • Better handling of Bcc on case email replies, and notifications for case owners.
    • Flow steps that work with audience segments.
  4. Highlights

    • Work in SparkDesk from your AI assistant. The SparkDesk MCP server is generally available: connect Claude, ChatGPT or another MCP client and it works with your own role and permissions.
    • Personal API keys for every member. Create your own key in Settings; it can never do more than you can do in the app.
    • More of SparkDesk over the API and MCP: comments, custom fields, picklists, field settings, custom objects, forms and automations.
    • Integration users connect your other tools with their own API keys and never take a paid seat.
    • Safer API keys. Limit a key to the areas it needs, give it an expiry date, and restrict it to known IP addresses.

    Also New

    • Admins can see every API key, revoke any of them, and review what each one did.
    • The API & MCP Activity report shows who changed what through the API or an AI assistant.
    • Notifications for every module, in the app and by email.
    • Move opportunities between stages on a board, grouped by any field.
    • A project can bill a different account from the client it belongs to.
    • Hours sold on a won opportunity become the project’s purchased hours.
    • Log time straight from the project page.
    • Record timelines are easier to read and show exactly which fields changed.
    • Task boards can be grouped by priority or assignee, with subtasks on each card.

    Fixes

    • Money amounts keep their cents, and contracted hours and payments are no longer counted twice.
  5. Highlights

    • Work on docs together. Edit shared docs with your team, leave comments, and resolve them when they are done.
    • See and restore earlier versions of a doc from its history.
    • Automations run more reliably and no longer run twice for the same change.

    Also New

    • Records that arrive from connected tools are checked before they are saved, so what lands in SparkDesk is what was sent.
    • SparkDesk stays fast and stable when many requests arrive at once.
